Equity and Inclusion – Events and Activities

CFAES Survey
The CFAES Offices of Equity and Inclusion and Human Resources wants to hear from you.

As you heard from interim Dean King in his November 15 message, our college tragically lost one of our students over the last few weeks.  In addition, there has been a rise in activism and incidents of harassments and hate across the country and on OSU Campus, maybe in your communities.  Given these recent events, the upcoming holidays and the end of the semester we wanted to check in.  Please let us know how you are doing.  This anonymous Qualtrics survey will take 3 minutes or less.  All responses are anonymous unless you request a follow up.

Wishing you the best as you move toward the end of the semester and into the winter holiday season.

Employee access to Employment Verification services is getting easier. Employment Verification can be accessed by active employees via single sign-on as of August 18, 2016.

Employment Verification is a service for faculty and staff who need to provide employment verification information to a third party. Requests are completed by The Work Number for Everyone, an automated service available 24 hours a day, seven days a week. Current employees can access the service via single sign-on on the Employment Verification page. Former employees must continue to log in via The Work Number.

What you need to do:

  • Be aware of the process for accessing Employment Verification services.

New Required Training for Principal Investigators

A new training requirement will go into effect on Oct. 1, 2016, that will impact your continued access to information in the PI Portal.

The Office of the CIO recently revised the Institutional Data Policy that classifies all university records and data as public, internal, private or restricted. Some data related to research grants falls into the restricted category — specifically voucher/invoice images displayed in the PI Portal and in the Subaward Invoice Approval (SIA) application. Additional controls will be required for access to restricted data, including completion of the university’s Institutional Data Policy Training.

What does this mean for you?

  • As of October 1, 2016, in accordance with university data security policy, access to voucher/invoice images will be removed in the PI Portal and SIA for all users pending completion of the required Institutional Data Policy Training.
  • In order to retain access to this information, all principal investigators must complete the online training by September 30, 2016. Instructions for enrolling in the training are available on the CIO’s website. The course and assessment will take about 40 minutes to complete.

More details can be found at:  http://osp.osu.edu/2016/08/02/new-required-training-for-pis/.

USDA Seeks Fellowship Applications for Future Agricultural Scientists, Science Educators

WASHINGTON, Jan. 27, 2016 – Agriculture Secretary Tom Vilsack today announced the availability of $18.9 million in competitive grants to support fellowships and other higher education training projects in food, nutrition, natural resources and agriculture fields. These fellowships are administered through USDA’s National Institute of Food and Agriculture (NIFA) and will support pre- and post-doctoral fellowships, undergraduate fellowships, and professional development for secondary school teachers and educational professionals.

“Highly motivated, talented and creative workers in the food, agriculture and natural resources fields will only become more valuable on a global scale as we face a growing population and tougher climate obstacles in the next few decades,” said Vilsack. “Investing in innovation and growing a strong knowledge base now is critical to bolstering food security, health, and economic viability for the next generation.”

Grants are available through NIFA’s Agriculture and Food Research Initiative (AFRI) Education and Literacy Initiative. Past AFRI Education and Literacy Initiative fellowships include an assessment by Virginia Commonwealth University of how climate change influences population dynamics of agricultural and forest insect pests; research at the University of Wisconsin to identify traits governing bacterial population in freshwater lakes; work by the University of California-Berkeley to give farmers and land managers a framework for restoring hedgerows to stabilize pollinator communities; and more.

Funded fellowships will span the six challenge areas identified by AFRI: childhood obesity prevention, climate change, food safety, food security, sustainable bioenergy and water. The fellowship program also will fund projects that contain well-developed and highly-engaged mentoring and training activities. NIFA will fund single-function and multi-function research, education or extension projects. Webinars for more information about these grants are available on the NIFA website.

Pre- and post-doctoral fellowships will serve as a conduit for new scientists and professionals to enter research, education and extension fields within the food, agricultural, natural resources and human sciences. Applications for pre- and post-doctoral fellowships are due February 11, 2016.

Undergraduate fellows will obtain hands-on experience and training and receive strong mentoring to assist them in joining the workforce or for pursuing graduate studies. Additionally, the undergraduate fellowships will provide opportunities for students from underrepresented and economically disadvantaged groups at minority-serving institutions, community colleges, and four-year colleges and universities to partner with larger universities and USDA laboratories. Applications for undergraduate fellowships are due March 24, 2016.

Grants for colleges and universities to develop training programs for secondary school teachers and education professionals, such as counselors and administrators, aim to provide immersive learning experiences for the grantees to create and replicate best practices to improve student success within the food, agricultural, natural resources, and human sciences. Applications for these professional development grants are due March 18, 2016.

AFRI is NIFA’s flagship competitive grant program and was established under the 2008 Farm Bill. AFRI supports work in six priority areas: plant health and production and plant products; animal health and production and animal products; food safety, nutrition and health; bioenergy, natural resources and environment; agriculture systems and technology; and agriculture economics and rural communities.

Since 2009, NIFA has invested in and advanced innovative and transformative initiatives to solve societal challenges and ensure the long-term viability of agriculture. NIFA’s integrated research, education, and extension programs, supporting the best and brightest scientists and extension personnel, have resulted user-inspired, groundbreaking discoveries that are combating childhood obesity, improving and sustaining rural economic growth, addressing water availability issues, increasing food production, finding new sources of energy, mitigating climate variability, and ensuring food safety. To learn more about NIFA’s impact on agricultural science, visit www.nifa.usda.gov/impacts, sign up for email updates, or follow us on Twitter @USDA_NIFA, #NIFAimpacts.

BEWARE: Tax Information Phishing Schemes

We are seeing an increase of phishing emails offering users attachments, links or instructions for downloading their W-2 form. These are fraudulent emails designed to steal your identity and Social Security number.

Tips for spotting a scam:
1. Verify the sender’s address.
2. Verify your email address is in the “to” field.
3. Poor spelling and grammar are red flags.
4. The message should never ask you for personal information. You don’t have to provide your Social Security number to get your W-2.
5. Be careful of links! Hover over links to check that the address matches what the link says or simply type the address of the website you want to visit in your browser yourself.

Your authentic Ohio State W-2 form will be sent from Tax Form Management <noreply@mytaxform.com>. The subject line will be: IMPORTANT TAX RETURN DOCUMENT AVAILABLE starting on Friday, January 15.

If you receive a suspicious email, please report it by sending it to report-phish@osu.edu. If you have questions about your W-2, please follow up with the Payroll Department at (614) 292-2311 Monday through Friday 8:00 AM – 5:00 PM.

For more information about phishing attacks, please visit https://ocio.osu.edu/itsecurity/buckeyesecure/phishing. Please also share this information with your team.

Camtasia Relay Files Archiving Process – PLEASE READ

Many across the college are regular users of our Camtasia Relay presentation/lecture capturing technology. The service has been in place since 2009 and is vital to many of our teaching and Extension efforts. The server that stores the Relay files is nearing its storage capacity. In order to allow for new files to be added without interruption, the IT Services team will be archiving a large number of older files in order to regain the needed storage on the server.

The archiving process will begin on 2/8/16. The files will not be deleted. Instead, they will be archived and stored offline for safekeeping and will be available by request. The files that will be archived were created between 2009 and 2013. If you have a file from that time period that you still actively use then it can remain on the server at your request. Contact Ken Kulka at kulka.1@osu.edu by 2/1/16 with the name of the file and the date that it was recorded and it will be excluded from this archive process and remain available online. Newer files will be left online.
