Team Meeting Minutes

Meeting 1:

Troy, Cam, Jamey 12:30-1:30 1/14/19 at OSU Marion, MSE rm. 225

Objectives:

For our first meeting, we went over the team working agreement. Troy said that it would be a good idea to meet in the engineering room as much as possible since we have unlimited access to it.   Jamey brought up that the best way to reach everyone was by texting.  Everyone agreed that this would be the primary form of communication.  Cam volunteered to do the team meeting minutes for the group.

Completed Tasks:

  • Assigned Roles for each group member.
  • Filled out TeamWorking agreement.
  • Built the model AEV vehicle provided on Carmen.
  • Established optimal meeting times for our group.

Future Tasks:

  • Design our own team AEV
    • Everyone will be assigned to coming up with ideas for the team AEV
  • Begin building our section of the website
    • Zach and Jamey are to begin on and must complete all links by next meeting.

 


Meeting 2:

Zach and Jamey 2.50-3:15  1/17/19 at OSU Marion, MSE rm. 225

Objectives:

We started work on the website, creating the framework of what we will use for the rest of the year.  Zach thought that it would be a good idea to assign a couple of people in charge in of the website, and that would be Jamey and Zach. Everyone will contribute to the website but they will focus on it the most.  They will also make sure that the quality is up to group standards.

Completed tasks:

  • Jamey made and completed the home page and team members sections.
  • Zach created the links for the labs and the team working agreements.

Future tasks:

  • By the next meeting, we hope to add in the full team working agreement and have some of Lab 1 done.
    • Jamey sent the team working agreement to Troy to get it on an iPad where everyone can sign it.

 


Meeting 3:

Zach, Jamey, Troy and Cam 12:30-1:30  1/23/19 at OSU Marion, MSE rm. 225

Objectives:

In this meeting before class, we over-viewed everything due on our lab 3 such as the teamworking agreement, individual and group AEVs.  We also reviewed preliminary R&D labs 3 & 4  and also looked into the corresponding user manuals.  We decided that we needed to be more prepared for labs in the upcoming weeks so Jamey had the idea that we do everything that is possible before the lab so that when the lab day comes, we can be as productive and efficient as possible.

Completed Tasks:

  • We re-ran some of our code from last lab(Lab 2), just to make sure our lab deliverable was correct on engine function. Jamey recorded how the engines ran through his various lines of test code.
  • Brainstormed ideas for our group AEV and discussed various ideas on how to implement them, such as a rotating base for our two motors as well as battery and Arduino placement on the AEV.
  • Reviewed user manual for reflectance sensor.

Future Tasks:

  • Finalize our group AEV Design.
    • Everyone is tasked with coming up with any more ideas that they think should be used
  • Upload our updated teamworking agreement.
    • Troy will complete this task

 


Meeting 4

Zach, Cam, Troy, and Jamey 5:00-6:00 1/28/19 at OSU Marion, MSE rm. 225

Objectives:

In this meeting, we wanted to get a head start on finishing lab 2-4 deliverables and also make adjustments to the AEV’s design.  Jamey decided that the best way to accomplish these goals was to break down tasks to each individual so that they could be completed faster.  Troy started to have ideas about some parts that could be 3-D printed for the AEV.  He began to make some parts in Solid-Works so that he could share his ideas with the team.  Zach had the idea that we should begin to share all the files that we are creating and using into commonplace so that we can keep organized.  Troy had a lot of new ideas about how the team AEV would look like and we were able to pick a design to move forward with.

Completed tasks:

  • Jamey finished the Lab 2 deliverables
  • Zach finished the Lab 4 deliverables
  • Cam and Troy updated the AEV design to be lighter.
  • Cam, Zach, and Jamey made relevant website updates

Future tasks:

  • Finish lab 3 deliverable
    • Jamey would do the writing for the deliverable while everyone on the team had to upload their picture of their AEV design.
  • Build the AEV
    • Troy will build the teams new AEV design

 


Meeting 5

Zach, Troy, Jamey, and Cam 12:30 pm 1/31/2019 in the conference room at OSU Marion STEM building.

Objectives:

For this meeting, we came together on our lab day off to overview and jump ahead on the lab that was supposed to be held today. We also worked on our progress report and made final design decisions for our AEV.  Troy had the idea to create three 3-D printed parts to help with not only the aerodynamics of the AEV but also improve the safety of it as well.  Jamey had the idea to have him and Zach focus on coding the AEV while Troy focuses more on the physical building and design of the AEV.

Completed Tasks:

  • Troy worked on solid works to complete our custom pieces to 3d-print.
  • Reviewed each AEV design and scored them on an excel doc with a Screening Matrix and  Scoring Matrix

Future tasks:

  • Finish Progress report questions for draft
    • Jamey will do the results and analysis and takeaways for labs 1 and 2
    • Troy will do the results and analysis and takeaways for labs 3, 4, and 5
    • Zach will write the situation and make the upcoming goals.
    • Cam will upload the team meeting minutes and the upcoming tasks
  • Deliverables from lab 5
    • Everyone will have to justify their score based on the concept of matrices.

 


Meeting 6

Zach, Jamey, Cam 3:00pm-5:00pm 2/14/2019 in MSE 225.

This meeting was an extension of our lab from that day, as we ran into some issues during our actual lab preventing us to complete the lab in the allotted time. We then decided to stay after class to make sure we run the entire Power Braking Versus Coasting lab and gather all of our data so we can analyze it in the following week.  Jamey came up with the idea to make this a regular meeting time for Zach, Jamey and Cam because they are all free during this time and the engineering room is open for them utilize the test track.

Completed Tasks:

  • Ran 10 trials on Coasting
  • Ran 10 trials on Power Braking
  • Compiled Data into Excel

Future Tasks:

  • Analyze our data and come up with a decision on which method( Power Breaking or Coasting) is best for our AEV.
    • Jamey will be assigned to this task so that the team can begin to work on progress report 2.
  • Run the energy analysis lab and revise our team working agreement.
    • The team will work as a group to make all necessary changes then Troy will take the final document and format it until it is ready to turn in.

 


Meeting 7

Zach, Cam, Troy, and Jamey, 2/22/19 over text.

Objectives:

The point of this meeting was to reorganize the group and get specific tasks assigned so that we would meet the goals we set out for ourselves.  We wanted to get the second progress report done before spring break, and Jamey thought that the best way to do with was to create a schedule that would encompass the next two weeks.  This includes completing the progress report, preparing for the R&D Presentation, and the Committee Meeting.   Zach noticed that there was a part of the lab that we had completed incorrectly so we decided to redo the lab in the next class.  The team will be meeting 2/26/18.

Meeting 8

Zach, Cam, Jamey, Troy on 2/26/2019 In the MSE conference room 12:30-1:30 pm.

Objectives

The goal for this meeting was to continue to jump ahead and stay on schedule, we focused on organizing our presentation so we can have plenty of time to plan and prepare for it. We also looked over some data from our advanced research and development labs, as we believe there was an error in our energy analysis that was performed in the lab the previous week.

Completed Tasks 

  • Rough Draft of our Presentation
    • Zach input data and takeaways onto the corresponding slides
    • Troy and Zach set up the powerpoint and planned
  • Analysis of data from advanced RnD labs

  • Mock Presentations need to be ran to make sure we are under 8 minutes

Meeting 9

Zach, Cam, Jamey, Troy on 3/5/2019 In the MSE conference room 12:30-1:30 pm.

Objectives

The goal for this meeting was to work on the PowerPoint and add finishing touches to Progress Report 2. We dispatched each person to work on their personal slides and prepared to have an easy return from break.

Completed Tasks

  • Divided PowerPoint into individual sections, letting everyone know what needs to be done
  • Cleaned up Progress Report and added the appendix.

Meeting 11

Cam, Zach, Jamey , Troy 3/21/2019 oin MSE 225

Objectives 

Practice advanced RnD presentation so we can go into the in-class presentation with confidence.

Completed Tasks

Ran through the presentation multiple times, ironing our kinks and other errors before the final one.

Future Tasks

Performance test 1- group as a whole needs to finalize our AEV designs for moving into the first performance test.

 


 

Meeting 12

Troy, Zach and Jamey 4/9/2019 in MSE 225

Objectives

The purpose of this lab was to finalize our servo arm design to make the braking as efficient and safe as possible.

Completed Tasks

Servo arm was completed by Troy and Jamey, Jamey realized that the servo only braked well in one direction, so a double sided arm was added to the design to make sure the AEV can stop coming back with the passenger wagon safely and still be able to make a quick complete stop before the gate.

Future Tasks

Focus on Performance test 3, and work on writing a code to go through the gate to the passenger wagon loading area.

Meeting 13

Jamey and Zach 4/12/2019 in MSE 225

Objectives

Focus on Performance Test 3, and finalize our code for Monday trying to minimize the energy used by our vehicle.  Also made progress on the CDR and progress report 3

Completed Tasks

Test runs ran and 3 successful runs of performance test 3 were made back to back. We can now move into Monday with a final design and code.

Meeting 14

Cam, Jamey, Zach on 4/16/2019 in MSE 225

Objectives

Objective of this meeting was to finish the Experimental Methodology and results and analysis parts of the CDR so we can move into the other parts of the CDR.

Completed Tasks 

Experimental methodology was finished up, allowing us to move onto other parts of the CDR as well as work on the presentation so we can start practicing as soon as possible. Team meeting minutes were updated and the schedule for the CDR was started. Data from performance testing one was also acquired.

Meeting 15

Cam, Zach, Troy, Jamey on 4/17/2019 in MSE 225

Objectives

This was a purely paperwork day, spent organizing the CDR, Presentation and Progress Report 3. Budget constraints were also completed.

Completed Tasks

Troy finalized our Budget constraints, and Cam continued to work on the website and CDR schedule. Zach and Jamey focused more on progress report 3. We also took a bunch of photos of our AEV to add to our various assignments and presentation.

Meeting 16

Zach, Jamey, Troy, Cam 4/18/2019 in MSE 225

Objectives

Today we hoped to finalize Progress report 3, and have the turned in by the end of class. We also took apart our AEV and returned all parts given to us.  Also make more progress on our website.

Completed Tasks

Troy successfully took apart our AEV, and Cam finished the final testing sections of the website, along with the final design page. Progress report 3 was also finalized so we can turn it in tonight.

Future tasks 

Tomorrow we plan to meet and practice and finalize our presentation before Monday so we can be prepared as possible.

Everyone- Meet in MSE 225 to practice our presentation and make final adjustments.

Objectives

Today it is planned to finalize our presentation and to run practice runs before we have our final one on Monday.

Today we finalized our presentation and practiced running through the entire presentation with the entire team present.

Future Tasks 

Finish the CDR over the weekend, and also have the website ready by Monday as well. Also need to finalize the drop box with all materials and data related to to project.

Cam, Troy, Jamey, Zach on 4/22/2019 in MSE 225

Objectives

This meeting was to practice our presentation more before our final one in class today. We needed to shave about 30 seconds off our presentations to meet the requirements.

Completed Tasks 

We were able to get our presentation within the time limits, as well as finalized all that needed to be conveyed and what was deemed unnecessary.

Future Goals 

Identify more areas of inconsistency with our AEV, as we only had one perfect run for performance test 3.  If we can improve efficiency we can also bring our group under budget, as we were over by about $31,245 .
