IMPORTANT NOTE: Student workers performing work similar to or in assistance to a faculty or staff member, must be compensated for their work.  Unpaid volunteers are meant to be short-term learning opportunities.  Student volunteers are limited to research labs only. Student supporting clinical operations must hold paid positions.

Student Workers (Paid)

How to Hire a Student Worker:

  1. Complete the HR Action Request Form and submit a brief summary of job duties using the Position Description Template.
  2. Finance will validate and approve the submitted funding source.
  3. You will be notified via automated email once the job requisition has been created in Workday.
  4. The Talent Acquisition (TA) Coordinator will reach out once they receive the automated email and set up time to discuss the recruitment and hiring process with you.
  5. At this time, students may apply for the position.  If you have a student in mind, please let the TA Coordinator know so they can send them a link for the job posting.
  6. Once you review candidates and decide your student hire, complete the HR Action Request Form to generate an offer.
  7. Managers are not permitted to make offers to candidates without HR and Finance approval.
  8. Once the student accepts the offer in Workday, the hiring process will continue until they are fully hired.
  9. Managers need to consult that student onboarding website and checklist to ensure a smooth onboarding process.

How to Determine Student Wages

  • $13.00 per hour – all undergraduate/Non-DVM enrolled research support and; all other student positions not listed below.
  • $14.00 per hour – DVM enrolled AV support, Tutors, ADA Access Assistants, research support. OPTIONAL: DVM enrolled students working in the clinic.

Student Annual Wage Adjustment Process

  • $0.25 per hour – completed up to 2 years of work in the college
  • $0.50 per hour – completed 3 or more years of work in the college

These increases will be processed by CVM HR and effective September 1st of each year or a designated date set by the University.  CVM HR no longer accepts off-cycle wage adjustment requests.

Student Volunteers (Limited to Undergraduate Students)

Volunteers provide valuable assistance to the college.  Their service is not meant to replace existing employees but instead to supplement the work of compensated staff and/or faculty.   Volunteers should not be put into positions which require complex decision making nor should they be given access to sensitive information, keys, or given computer access, unless approved by a department chair/director.

Volunteers are defined as individuals who wish to provide services to the University and College of Veterinary Medicine as an uncompensated employee, that is, they wish not to be paid for services rendered and are ineligible to obtain coverage under the university’s benefits programs including disability and/or workers’ compensation programs.

Procedures

  1.  Employees seeking individuals for volunteer opportunities must obtain approval from their department chair prior to offering the volunteer assignment to any individual.
  2. The Volunteer Release must be signed by the supervisor providing oversight to the volunteer and the department chair/director.
  3. Volunteers will not be entered into the HR System nor will they be eligible to receive compensation of any sort.
  4. Volunteers should not be assigned university property such as keys or equipment unless necessary for the type of work to be performed and then only with the approval of the department Chair or Director.
