Important Information about Getting Established and Mandatory Retirement Contributions.
Thank you for your interest in joining the College of Veterinary Medicine as a locum. This page contains important information for you to consider in order to become an established locum. Please direct questions to Kristi Pyke, HR Business Partner at pyke.2@osu.edu or your department contact.
- Appointment
The College of Veterinary Medicine hires locums on a semester basis. During the semester, locums may cover as little as one day of service or multiple days or weeks of services. We will negotiate the dates with each locum based on need and their availability.
- Letter of Offer
HR will send a letter of offer to the locum through Docusign. If one is not received within 1 week of initial verbal acceptance of the assignment, then individuals should reach out to their designated department contact.
- Application
Once a letter of offer is signed, an application will be required. Locums can NOT begin work without a signed letter of offer AND a completed application in Workday. A link to the job requisition and application will be provided in the letter of offer and subsequent communications. Locums will have 72 hours to complete the application process from the time they sign their letter of offer.
- Veterinary License Requirement
All locums are required, per the state of Ohio, to be licensed by the Ohio Veterinary Medical Licensing Board (OVMLB). A limited license is sufficient for locums in the state of Ohio who work for Ohio State. This license limits their ability to practice to just work performed at the University. Application details can be obtained from the OVMLB website at https://ovmlb.ohio.gov or by calling (614) 644-5281; the timely submission of an application and payment of associated fees is the responsibility of the locum.
The application process requires you to obtain a BCI/FBI fingerprint background check which is separate from the OSU background check that is processed through First Advantage and Workday. This is an important step and often times can be overlooked, so please be sure to complete all of the necessary application steps for processing the approval of your limited license. There are private companies that provide this background service along with most local police departments, who can also guide you to other locations that may be more convenient. Your letter of offer can be used as proof of employment for your application, or if you would like to begin the background check before your offer letter is finalized, a letter can be provided to you from the department contact. ALL QUESTIONS REGARDING THE LICENSE PROCESS SHOULD BE DIRECTED TO THE OVMLB! THE UNIVERSITY CAN NOT SUBMIT AN APPLICATION FOR LICENSURE ON YOUR BEHALF!
- I-9 Process
HR will send information regarding processing an I-9. Please follow the instructions, which will include a link to schedule your appointment with the I-9 HR team. For your convenience, the link is also included here: https://outlook.office365.com/owa/calendar/I9s1@buckeyemail.osu.edu/bookings/
- Retirement Contribution Requirements
The state of Ohio requires public employers to deduct retirement contributions from any wages provided to employees. Locums will contribute 14% of their gross pay to the mandated retirement plan. At the end of your assignment with the University, you will have options as to what to do with those contributions. To view more about retirement plans and contributions please visit https://hr.osu.edu/benefits/retirement/. You can view options for distributions, transfers and rollover of your funds after you finish your assignment at https://hr.osu.edu/benefits/retirement/distributions/
- Parking
Parking costs are the responsibility of the locum. Daily passes are $9.75 per day and are not cost-effective if parking for more than 7-days. Online enrollment in a parking plan can be completed at https://osu.campusparc.com/ or via phone to Campusparc at 614-688-0000. They will walk individuals through the process.
- Submitting Time Worked
Locums are required to submit the days they worked on a monthly basis.
-
- DEADLINE: 3rd working day of the following month
- TO SUBMIT TIME WORKED: HR Action Request Form
Important Notes about Compensation and Receiving Pay
Locums are paid a daily rate for services. For each month they perform services, they will receive at minimum one days pay with additional days worked being paid out in subsequent months. All payments are subject to applicable payroll deductions. In order to receive payment in a month during this appointment, a locum must work at least one day. For any month where services are not provided, there is no compensation paid. Locums are responsible for submitting their days worked via an online for which gets approved by the Section Head and processed by HR. Locums will receive a paper W-2 in January if they are not actively employed during the month.
