SP Event Expectations and Policies:
These are intended to demonstrate our commitment to enhancing the SP experience and optimizing their engagement in all events with all groups of learners. By prioritizing their needs and fostering a supportive and rewarding environment, we can continue to cultivate a dedicated and effective pool of SPs who contribute to your program’s success.
- Comprehensive Support and Resources:
- SPs will have access to comprehensive support resources, including training materials, instructional videos, and FAQs, to aid in their preparation and execution of assigned roles.
- A designated point of contact will be available to to the SP team to address SPs’ questions, concerns, and logistical needs throughout the entire event process, from initial training to post-event debriefing in a timely manner.
- Clear Role Expectations and Feedback Mechanisms:
- Prior to each event, SPs will receive clear and detailed instructions outlining their roles, responsibilities, and expectations, including specific performance criteria and assessment parameters.
- Your program’s faculty or staff are responsible for creating virtual meetings links (such as Zoom) for any virtual trainings or events, if applicable. This link can be sent to OSUSPP@osumc.edu.
- Feedback mechanisms will be established to allow SPs to provide input, suggestions, and concerns regarding their experiences, ensuring continuous improvement and optimization of their involvement in assessment activities.
- Recognition and Appreciation:
- SPs’ contributions will be acknowledged and appreciated through formal recognition programs, such as emailed thank-you letters, in-person expressions of gratitude, certificates of appreciation, letters of commendation, or other forms, to express our gratitude for their invaluable role in supporting learner assessment. The SP Team works with your programs to enable this recognition.
- Comfort and Well-being:
- Measures will be taken to ensure SPs’ comfort and well-being throughout the duration of assessment sessions, including access to rest areas, refreshments, and breaks as needed to alleviate fatigue and promote relaxation.
- If an event runs at least 2 hours prior to 11am-Noon and 2 hours or more after these times, at least 30 minutes MUST be provided to SPs for a lunch break.
- Consideration will be given to factors such as physical and mental comfort, privacy, and safety to create a supportive and conducive environment for SPs to perform their roles effectively.
- SPs will be given the opportunity to de-stress and de-role if necessary, especially after engaging in challenging roles. This may be through formal faculty/staff involvement, or on their own time during or after an event.
- Flexibility and Accommodation:
- Flexibility will be exercised in scheduling and assigning roles to accommodate SP availability, preferences, and individual circumstances, fostering a sense of inclusivity and empowerment. The SP Team is always happy to work with you on this.
- Reasonable accommodations will be made for SPs with specific needs or disabilities to ensure their full participation and enjoyment of the assessment experience, in accordance with relevant regulations, policies, and guidelines.
- Day-of Event Coordination
- Your own program’s faculty or staff are responsible for directing and managing your learners during the event.
- Your own program’s faculty or staff are responsible for creating and managing your activity’s schedule. (You may always contact our team for ideas or feedback in advance.)
