What is the Enterprise Project?

  • The Enterprise Project is a business transformation that will improve the Ohio State experience and advance operational excellence through Workday and other modern, effective services and technology.  It includes optimizing finance, HR, payroll, student services and IT business processes; replacing core administrative systems (currently PeopleSoft) with Workday; and improving decision-making through a single source of trusted administrative data.

    • Ohio State is implementing Workday for the university and Wexner Medical Center’s financial, human resources, payroll and student information systems. That means one system for all of your Ohio State business support needs: one version and one experience for one Ohio State community.

What is Workday?

  • Workday is administrative technology that will serve as a single system for the university’s business operations in finance, human resources, payroll and supply chain. Beginning January 2021, Workday will replace outdated technology to create a better Ohio State experience. Faculty, staff and student employees will use Workday to update personal information, request leave, select benefits and more.
  • Modernizing administrative systems and increasing the effectiveness of business processes will support the university’s operational excellence goals.

What is the Foundation Data Model (FDM) and what are Worktags?

  • The Foundation Data Model is a multi-faceted classification system that allows users to attach common keywords, or “worktags,” to transactions. By labeling information with worktags that are shared between business areas (Finance, HR, Payroll and Student), the university can effectively report and analyze data.
    • Worktags are descriptors assigned to a transaction that provide information for reporting and analysis purposes. Worktags will be grouped into three categories:
    • Standard worktags – Workday delivers these as part of the established system requirements.
    • Ohio State defined worktags – A certain number of worktags will be created to meet the university’s specific reporting needs.
  • Not used worktags – Ohio State will not use these standard Workday worktags.

How Do I Access My Translated Worktags?

  • The college has created a translation tool in the form of an Excel spreadsheet. It is located in the I: Drive – Workday folder at I://Workday. The name of file is:
  • “Chartfield to FDM Worktag Translations ALL COLLEGEE.xlsx”

To connect to the I Drive you must be directly connected to the Optometry network or connected via VPN.

Training

Workday uses security roles that are assigned to a person based on the tasks they need to complete. Training is assigned based on the security role. Check your transcript in BuckeyeLearn for training assigned to you.

How to get help with Workday

If you are having trouble logging in to Workday, call 614-688-4357 (HELP).

Visit admin.resources.edu.edu (ARC) and select Workday to find answers to most of your questions.

If you cannot find the answers to your questions on the ARC:

  • For HR and Payroll support, check the HR Connection portal. This hosts articles and helpful quick links, and also allows you to submit an inquiry for HR and payroll services. You can also call 614-247-6947 (myHR).
  • For Finance and Supply Chain support, you may call 614-247-7000 and follow the phone prompts.

The College of Optometry has assigned change coordinators to assist with Workday implementation.
