July Office Hours

There have been many requests from offices that want to talk through ways to set up their offices in the autumn for virtual drop-ins or check-ins, configuring virtual scheduling, etc.  We are offering four office hours times over the next two weeks.  Please see dates/times and register below:

Lunch and Learn: Updates

The OnCourse team hosted a Lunch and Learn webinar yesterday to discuss recent and upcoming changes to the advanced search and scheduling functions of the platform. The zoom recording and power point from this call can be found here: OnCourse Lunch and Learn Recordings.

The next Lunch and Learn will be held on August 4, 12:00 – 1:00 PM and will update the university on the summer Progress Report pilot, as well as other student outreach made over the past six months. OnCourse Updates- Minors and Duo Mobile

Hello OnCourse Users,

Last night, we updated our nightly feed from the SIS to include the following updates:

  1. When you view a student’s home page, you will now see their major and minor listed.  Minors will include the code (MIN) next to the name of the minor
  2. When you search for students’ minors, you will now see the minor represented in the search area under Area of Study -> Major.  For a while you will see minors represented in Categories still, but next week we will remove these, along with any Categories brought over from the SIS that are no longer associated to students (orphaned codes)
  3. We removed a bug where, when a student dropped a course that had a lecture and lab component, only the lecture dropped from their current courses

Also, we wanted to let you know that on July 2 at 5:00 PM, multi-factor authentication (Duo) will be added to the OnCourse system. This means after July 2, when you access OnCourse, you will first enter your Ohio State username (name.#) and password and then after you’ve entered your credentials, a push/call/code will be sent to you based on the method you chose. You will need to accept the push/call or enter the code as a second identification step and you’ll be logged in to OnCourse. If you have more questions about this or have not yet set up your BuckeyePass/Duo Account, please visit https://buckeyepass.osu.edu/.

June 2020 Updates

Email Outage Fixed

Last week it was discovered that some messages sent through OnCourse were not reaching the recipient’s inboxes. This problem was related to filters through the OSU email servers and it is now resolved and should not reoccur. 

If a student seems to have not received a confirmation email, they can use the following document to show them where they can find the details (time, zoom link, etc.) for their scheduled appointments: Student Appointment Details

May 2020 Updates

  • Summer Term Updates
    • Recent updates to Microsoft 365 may have disrupted your sync. Please double-check your calendars are still syncing.
    • Please double-check that your availabilities are correct for this term, and re-set your re-occurring meetings in your Outlook calendars (for more information on syncing and setting availability, see this page: u.osu.edu/oncourse/advisors-and-staff/)
    • Next week you will be able to use Advanced Search to find students without an assigned advisor, and the new reports will be available.
  • Requesting Help/Tech Support
  • Training
    • OnCourse now has two modules on BuckeyeLearn to help users learn how to use the platform. If you or your office would like additional training, please fill out the form found on u.osu.edu/oncourse/request-training/.
    • We will be hosting a Lunch & Learn series on the first Tuesday of every month.  The first, on June 2, will be an overview of the new Reports in OnCourse.  Register through BuckeyeLearn (log in to BuckeyeLearn and then search for OnCourse to access all our trainings).
  • Tagging
    • Entry Terms are tagged through AU20, we will continue to clean up as students’ plans solidify
    • Entry Campus tags for each of these terms are also available
    • We are currently working on Campus Change and Transfer Student tags

April 2020 Updates

The following are updates that have been made to the OnCourse platform as of April 28, 2020.

Time Zones:

Appointment availability and times now include time zones

Mass Alerts from Search:

Select up to 100 students at a time to issue a mass alert

URL/Phone field:

When setting up availability, there is now a field for URL/Phone Number so staff can provide a zoom link or phone number for the student’s appointment

Scheduling over courses:

Since classes are remote, appointments in OnCourse can now be scheduled over

School Info Link- Now says “Advising & COVID-19 Info”

Located under “Quick Links” on the right side of the homepage

Reporting Update:

On May 29th, the reporting section of OnCourse will be updated. The new version of this section is available in our training site (go.osu.edu/oncoursetraining) if you would like a preview of what to expect.
