Travel
We encourage attendees to drive to Columbus on the morning of Thursday Nov. 17. We recognize, however, that some regional institutions are too far away to allow this, and we will provide accommodation for Wednesday night if necessary.
Accommodations
Accommodations will be provided at no cost to graduate and undergraduate students. Some travel assistance may be available for more senior attendees, please contact a member of the LOC if you may need assistance.
We have reserved a room block at the Hampton Inn & Suites Columbus-Downtown, conveniently located in Columbus’ Arena District just two miles from the conference venue. The room rate is $129 per night. The deadline to reserve rooms is November 3. Rooms can be reserved either for Thursday night only, or for both Wednesday and Thursday night.
Students should email johnson.7240 at osu dot edu to request a room, and the organizers will make a reservation on their behalf. The email should specify whether you need a reservation only for Thursday night, or for both Wednesday and Thursday nights.
All other attendees should call the hotel directly at 614-559-2000 and request a reservation for the Great Lakes Area Exoplanet Meeting – group code GLA.
Valet parking will be covered for all attendees and will be billed through the hotel; do not pay out of pocket and then seek reimbursement.
For the students who booked complimentary lodging through us, you will need to present a photo ID and a debit or credit card for any incidentals at check-in.
Parking: please park directly in the Ohio Union South (1759 N High St, Columbus, OH 43210) or North (1780 College Rd S, Columbus, OH 43210) garages, located adjacent to the meeting venue. You can pick up a parking validation sticker at the conference registration table, which you will add to your parking ticket and scan when exiting the garage to obtain complimentary parking. You do not need to pick up the validation sticker before parking. (Note: validation stickers are not available to attendees from OSU).
Meals and Refreshments
We will provide lunch and dinner on Thursday. Dinner on Thursday is your option of attending a Columbus Blue Jackets Ice Hockey game, or a group dinner at a local restaurant. See your email for more information. We will also provide hot beverages and light refreshments during conference breaks. Breakfast will be provided at the conference hotel.
