Y2 Working Agreement

Communication:

  • group text will be main form of communication because this is the quickest and most accessible form of communication
  • Emails will be used for longer messages that include attachments, files or images, etc.
  • Weekly meetings will be enforced in order to stay up to date with the progress the team has made, split up the work for upcoming assignments, etc. Meetings will be held on campus, the location will be agreed upon in the group chat.
  • A google doc will be made and shared for projects that will be worked on as a team
  • All docs need to be added to the group folder to keep organized and on top of things

 

Participation:

  • All members must participate in group activities/tasks.
  • For tasks that are split up/individual, group members must complete the task on time and must be satisfactory
  • Failure to do so will result in consequence such as a lower rating at the end of the project which will result in a lower grade

 

Decision-making:

  • Consensus is a must for important decisions, some members will have to compromise and agree on important decisions
  • Otherwise majority rules
  • In the case of an impasse, further discussion of the matter will be required until a majority is reached
  • If all else fails, Dr. Grzybowski or the TAs will be consulted.

 

Dispute-management:

  • If there are disputes/arguments within the group, group members must take this up individually with the group member
  • If the issue is not solved between the individual members, the issue will be brought to the entire group in order for the input of all members to try and solve the dispute
  • Liking each other would be ideal but if group members for any reason do not get along, all group members must still participate in all the work for the project

 

Responsibilities/expectations:

  • Deadlines
    • Projects/assignments/homework must be done on time
    • The group will get assignments done the night before class before 9pm so that the entire group can look over the work before it is turned in and to make sure the assignment is not missing anything (cover page, etc).
    • Failure to do so will result in a low ranking at the end of the project which will result in a lower grade.
  • Division of work
    • Work will be divided equally among all members. Members must compromise in order to divide the work equally. If an agreement is not reached, names will be drawn out of a hat for the tasks. Although some work may be individual, all group members must help if an individual is struggling with a task. We must work together to help each other to succeed.
  • Quality of work
    • Since work will be completed before 9pm the night before, all group members will be able to look it over to decide if it needs improvement before being turned in
    • All work must meet the guidelines on the rubric in order to ensure all points are obtained for the assignment. If the work does not meet the rubric expectations, the group member in charge of the assignment will be asked to revise it.

 

Meetings:

  • Conduct
    • Formal vs informal meetings
      • Formal meetings will not happen that often, and can include people outside of our group and will be about important matters
        • Will want to be on our best behavior
          • All group members will get a chance to share their thoughts, ask questions etc. Group members must be respectful and listen to all members before speaking. Positive output will be given, no negative comments or attitude.

 

 

 

 

      • Informal meetings will just be the meetings between us and will include the less important topics. These will happen more often (weekly)
        • Everything on the agenda will be covered. Questions and comments can be shared, all group members must participate. If a group member would like to bring up a conflict  he/she may do so.
          • If a group member cannot attend a meeting, the group member can either FaceTime with us while he/she is missing or the member will be informed about the topics discussed and must also inform the group members via text/email about any questions or comments he/she has.

 

  • Structure
    • An agenda will be provided at the beginning of a meeting. All topics on the agenda must be met. All group members will participate. Disputes may be brought forward at the informal meetings. Each member will be asked to comment on all aspects of the agenda. No one should leave the meetings feeling confused or unsure about their obligations for the week, etc. The agenda will be set and edited by the group through a google doc each week, and each member should add any topics or questions they want to discuss.
    • Each meeting will be documented by one member writing the minutes and then typing the minutes up after the meeting and adding them to the group folder. The scribe for each meeting will be decided via text, and each member needs to take a turn at writing the minutes.
    • After each meeting, one group member will send out an email or text with the schedule for the following week along with a list of the assignments and who will be completing the assignments. The person who will do this each week will rotate between group members.

 

  • Location
    • Because the group members all live on different areas around campus (off campus, south, north) meetings will be held at a common area on campus (18th Ave Library, Hitchcock, dorms, etc). These locations can change weekly and will be decided in the group message.
    • Because all of our class schedules are different, we have agreed to meet on either Tuesday or Thursday nights. If this results in conflict, the dates may change.

 

  • Punctuality
    • If you’re going to be late, you need to let us know how late you are going to be and why through the group chat
    • For informal meetings, grace period of around 10 minutes
    • For formal meetings, be 5 minutes early, no exceptions.
    • It’s okay if you’re late as long as you bring donuts and coffee 🙂
    • If a group member is late or does not show up to a meeting the meeting will still continue and the group member will be informed of what they missed.
    • Please do not be late more than 2 times, respect all of the group member’s time

 

  • Schedule conflicts
    • If more than one person can’t make it, meeting needs to be rescheduled
    • Person that can’t make it needs to go through the minutes of the meeting and have a discussion with someone that was there within 2 days of the meeting
    • All members need to be present for formal meetings
    • No group member can miss two consecutive meetings
    • If a meeting is missed, it must be with good reason, i.e. family emergency, personal illness, etc.
    • Each group member has 3 grace absences for the rest of the semester
