2)  Primary Means of Communication and Expectations

State your team’s agreed upon various means of communication and expectations for response.

The agreed upon means of communication is the app Group.me. A group was set up for our group, all members joined and verified we were able to successfully use the app.

The group is expected to read Group me messages on a daily basis, and respond in less than 12 hours. If no reply received in 24 hours, that person’s name can be left off the paper and unable to receive points for the project.

The above addition seems a little vague to be enforceable- instead, consider bulletpoints that identify a process, like:

During lab/meeting/class, all roles and tasks to be completed before the next meeting time/class/lab will be clearly identified and posted to the Group Me. Each class period, the previous tasks will be archived in the google drive document associated with the “individual responsibility agreement”

Check ins to confirm progress on deliverables will occur 12 hours before the next lab/class period to (a) allow for the team to formulate questions to ask the instructional team, (b) ensure that all final touches to deliverables have been made if that work is due during the upcoming lab/class period.

If a team member is struggling with completing their portion of work, they are required to touch base with the team through Group Me within 24 hours of the work being assigned (unless an alternate check in time is agreed upon by the entire time) to ensure that team members are being proactive about completing their duties and/or reaching out to resolve any confusion they may have about rubrics/coding/content.

Should a team member not submit their work/proofreading/editing duties to the google drive AND be unresponsive to outreach from the rest of the team AND the deliverable is due within 3 days or 72hrs, the rest of the team has the right to take over that members duties, complete them, and remove from the deliverable that team members name so that only team members proactively and actively contributing to the final product receive credit for their work.

Documents will be kept on a shared google drive, so all members can contribute, and review work prior to submission.

3)  Scheduling of Meetings (Schedule at least one meeting as part of constructing your team agreement.)

The groups agreed upon meeting Monday after lab class to complete group projects at the 18th Avenue library, with the backup location being the Thompson library. The group will set meeting times during lab on Monday if the meeting time will deviate from normal after lab meetings.

A group member will confirm everyone can meet after class, and schedule alternate arrangements if necessary.

4)  General Responsibilities for All Team Members

This element of the team working agreement is the list of rules/agreements or the contract that all members agrees to live by.

  • Stay on task during lab.
  • Divide the work fairly and be sure that everyone participates equally.
  • Complete assigned tasks on time.
  • Be on time to all meetings, and notify other team members ahead of time in case of absence from a meeting.
  • Discuss any problems as they arise.
  • Proofread final report prior to submission.
  • Ensure that all team members have a copy of the finished report.
  • Ensure that all team members understand all of the concepts and information presented in the report.

5)  Specific Team Member Responsibilities/Deadlines (If applicable)

This section may be used to record specific tasks or responsibilities particular team members have assumed.

First draft, Maintain documents, double check rubric / equations – Stephen

First draft, Research and References – Bin

Proofreading / Final draft creation – David

First draft, Reminder for due dates-  Ganga Daha

Mondays after class: Specific roles and expectations will be discussed prior to leaving class Monday, to be drafted in an email for the group to have.

6)  Conflict Resolution

Each team should have a pre-agreed approach to addressing issues that may arise.

When there are problems within our group pertaining to the general responsibilities or specific responsibilities, the following steps will be taken in this order until a resolution is found.

1 If anyone has a problem with how the group is running, or if anyone has any concerns regarding the project progress, the issue must be discussed within the group first, The group then must work together to come with a solution to that person’s grievance.

  1. If members of the group still do not address the grievance or complaint, then the GTA will be consulted for mediation.
  2. If the GTA cannot solve the issue then the professor will be the last source of mediation.

7)  Expectations of Faculty and GTA’s

If a team member fails to live up to this agreement, the situation may be reported to the staff, but the team will still be responsible for submitting a completed assignment.  Staff will be available to meet with teams to resolve issues.
