Team Meeting Minutes

Meeting 1:

Location: MSE Room 225

Time/Date: (7:30am-8:00am) January 16, 2019

Members Present: Alexander Enders, Zachery Moser, Caleb Tincher, Jon Misich

Topics/Agenda: Team Working Agreement  

The topic of discussion was initiated by Alexander under the circumstances by which the topic of “upcoming assignments” was brought up to be addressed. It was decided that the most appropriate time to meet was the early morning of January 16th before class. It was also decided by the team what parameters would be included within the Team Working Agreement, and each topic was reviewed and agreed upon when completed. These decisions were made to not only ensure that every group member would be available to discuss the necessary topics at hand but to also ensure that the agreement that every team member would abide by was both completed and reasonable to all team members.  

Upcoming Tasks:  

All members are to help finish the remaining work that was not completed from the Team Working Agreement. The Team Working Agreement should be completed by 10:00 pm on January 16th. In addition, Caleb’s task is to have the Advanced Energy Vehicle assembled by 8:00 am on January 17th. Finally, all members are assigned the task of thinking of ideas on how the team should work together and improve for the semester. The task of brainstorming is to be completed by the beginning of the next meeting on January 24th.

Meeting 2:

Topics/Agenda: Creative Design Thinking

The topic of discussion was initiated by Zachery when the topic of assignments was brought up. The time was determined to be at night on the 22nd of January, which was a time the entire team had free. It was determined that during this meeting, the team would discuss the designs and give constructive feedback on each other’s designs to improve each person’s individual design. This was done to ensure that the Advanced Energy Vehicle would be of the best design possible and that each member would be able to check on the progress of each other member. Given the importance of each individual design and how it could affect the end design of the vehicle, the team also wanted to ensure that each team member had completed at least a basic design by the beginning of the meeting.

Upcoming Tasks:  

Each team member was to take the advice given to them by the group mates and use this discussion to improve the individual designs without copying the others work. Each design should have been done before class on January 24th, 2019. Additional concerns could have been addressed over text, via a group text message or Skype.  

Meeting 3:

Topics/Agenda: Snow Day/ Lab 5

The topic of discussion was initiated after class was canceled on January 30th and 31st due to extreme cold and snow. Since the team had class off on Wednesday, the team determined that was the best day to have a meeting. During this meeting, the team discussed the content present in Lab 4 so the team did not fall behind in the coming weeks. This allowed us to understand the content within and help to prepare for the upcoming progress report due on February 8th. the team tried to finish most of the details of Lab 4 and assigned times to finish all other tasks the team did not finish.

Upcoming Tasks:

The team was tasked with preparing for the upcoming progress report the coming week. This was done by creating a shared Google Document to allow each group member share any information that they were going to put in the progress report, as well as creating a document for the actual report itself. the team was then tasked with finishing the rough draft of the report by February 6th, 2019 as to be able to pick apart any errors before the due date of the report.

Meeting 4:

Time/Date: (3:00pm-5:00pm) February 7th, 2019

Topics/Agenda: Progress Report 1

The topic of discussion was established at the end of the last meeting, and the group made sure that the report’s writing and appendices were complete. After finishing any writing that the group still needed to do, the team worked on adding references and shortening the paragraphs of the progress report to make them more concise. This process took some time, but the team was able to create a report that the team was satisfied with in the end.  

Upcoming Tasks:

Group D was tasked with checking the wording and having each member comb through the report for any errors, as well as making sure that the team was on task for Website Update 2 the following Monday, on February 11th. the team did this by looking through the documentation and establishing exactly what needed to go into the website. Group D plans to meet again during the weekend to try to make sure that the website update is complete by Monday.

Meeting 5:

Time/Date: (2:30pm-3:30pm) February 10th, 2019

Topics/Agenda: Grant Proposal

The topic at hand was prompted by the upcoming Grant Proposal assignment. The goal of this meeting was to establish what exactly the team was going to be presenting at the meeting as well as the presentation itself. Since the presentation only had to be one sheet, Team D finished up the presentation and decided on which design was going to be presented on this day. The design that the team used was based on a team vote, as to be the most fair to each member.

Upcoming Tasks:

The main task at hand was to ensure the team had a Solidworks model of the design the team had chosen and had pictures of it posted to the presentation slide by Wednesday, February 13th, 2019. This would make sure that the presentation would be accepted the next day and that the highest quality design could be proposed to get the grant money.

Meeting 6:

Time: (5:00pm-7:00pm) February 19th, 2019

Topics/Agenda:  

Team D met on this night to study for the exam that was coming up the next morning. The primary reasoning for this was that all of us wanted to practice for the SolidWorks problems, and each group member made sure that each other was prepared for the next day. While there was only so much each member could do for one another, it helped each of the members of Team D learn for the upcoming test.

Upcoming Tasks:

Prepare for the exam and prepare for the upcoming lab in the week. The exam was to be the primary focus of each team member.

Meeting 7:

Time: (4:00pm-6:00pm) Tuesday, February 26th 2019

Topics/Agenda: Committee Meeting 1

The topic for this meeting was to ensure each team member was prepared for the first committee meeting that was coming up on Thursday, February 28th. Each group member needed to understand exactly what material they needed to present on and how to present it. The primary objective of this meeting was to assign roles for each member and make sure that they were able to collect as much data as possible about which part of the Advanced Energy Vehicle they were working on.

Upcoming Tasks:

Team D’s primary focus should be to make sure that each member is prepared as possible to be able to present their specific topic for the committee meeting. Each member is expected to be dressed professionally and practice their own portions of the meeting as to ensure that the team will do as well as possible on this meeting. Each member is expected to be here slightly early on Thursday to practice before the meeting.

Meeting 8:

Time: (4:00pm-6:00pm) Thursday, March 5th

Topics/Agenda:  Post Spring Break Assignments

The topic for this meeting was to discuss the assignments that were going to be due after spring break. Since Team D was going to be on break for a week, it was decided that the assignments should be started before the break so if team members could not be present some of the work would be done. The four assignments Team D decided to focus on were Progress Report 2, the R&D Oral Presentation, Performance Test 1, and Website Update 3. Each team member worked on one part of each assignment, primarily Progress Report 2 for as long as the team was able to meet. The members not working on the Progress Report should work on the other three assignments and plan for how to finish it after the break.

Upcoming Tasks:

Team D should enjoy their break, but each member is expected to try to work, if even a small amount while gone. Each member is expected to be able to work on Progress Report 2, to finalize the assignment before the due date on Monday. Another meeting will be decided upon then, where the team is expected to set up a meeting to work on the assignments that are due. During this second meeting, the team is expected to work on getting all other assignments done for the week.

Meeting 9:

Time: (7:30-10:30) Sunday, March 17th

Topics/Agenda: Progress Report 2

The topic of this meeting was to finish the Progress Report due Monday. Team members found that no other day was suitable for a meeting but on Sunday. The report was almost a complete draft, but the team needed to finish and polish the report. Each member is tasked with thoroughly combing over the paper for any errors, making sure to look at both the rubric and comments from previous reports to finalize the paper. Team D should work for as long as they can meet.

Upcoming Tasks:

Team D should check even further on Monday for any errors. This should be done in a second meeting, as stated in the upcoming tasks for Meeting 8.  Along with the progress report, the team should delegate half of the members to work on the upcoming Oral Presentation on Thursday. Performance Test 1 was moved to Monday, March 25th but the team is still expected to get together and work on the assignments. During the next meeting, another meeting will need to be determined to figure out which team member is going to do what on the Oral Presentation

Meeting 10:

Location: MSE Room 225

Time: (2:30-4:30) Tuesday, March 19th

Topics/Agenda: R&D Oral Presentation

The topic for this meeting was to determine which team member would do what on the R&D oral presentation. The presentation had already been completed at this point and Team D needed to get some practice in to be able to effectively present on Thursday. The team not only determined who would do what but also made changes to the presentation to make it fit all team members’ needs.  

Upcoming Tasks:

Team D was to prepare for performance test 1 the following Monday. The team determined that they would meet up again on Friday to do final testing, as well as meet early on Monday morning to ensure that the vehicle was still performing up to spec. The primary code should be done by the time of the performance test, with the main purpose of the next meeting being to work out any kinks and improve the efficiency

Meeting 11:

Time: (5:30-7:30) Tuesday, March 26th

Topics/Agenda: Website Update 3

The topic of this meeting is to finalize the main body of website update 3. Due to Team D underperforming on the last website update, the team wanted to make sure that they worked even harder on the next update. Thus, each team member was required to attend and the members present were to work on the update and complete it on Tuesday night. If Team D had any tasks they had not completed, they were to complete these by Wednesday night as to make sure that the website is the best possible.

Upcoming Tasks:

Team D is to keep working on website update 3 and make as many small changes as possible before it is due. After this, the team is to try to meet during the weekend to study for Exam 4 the following week. If team members are unable to during the weekend, meeting the following week on Monday or Tuesday are also possible.  

Meeting 12:

Location: MSE Room 225

Time: (3:00-4:00) April 2nd

Topics/Agenda: Exam 4

The topic for this meeting is to make sure that each team member is prepared for the upcoming exam on Wednesday. The team was to meet up in the engineering room to study and check each other’s knowledge of assemblies. The team was then to create a meeting to make sure that they each worked on the project dropbox assignment and that no information was solely on one person’s computer.

Upcoming Tasks:

Team D is to set up the meeting and all members are required to attend this meeting. Each team member is to upload as many files as they have onto BuckeyeBox to help in the efforts. Caleb Tincher is to then organize these files and make sure that everything is there before the box is due. The meeting should be held on either Wednesday or Thursday night, with each member working well before these dates.

Meeting 13:

Location: Group Skype Call

Time:  (7:30-9:30) April 4th

Topics/Agenda: BuckeyeBox Drop Box

The topic of this meeting is to make sure that all files are uploaded to the BuckeyeBox and to have all team members check over Caleb’s work. Organization is the key factor for this project, though the information contained within is also important. The other topic of this meeting is preparing for the CDR due next month. This is because of the project’s sheer size. The team is to establish a plan for working on the CDR and who will be working on it.

Upcoming Tasks:

Team D is to make sure that all elements are in the Box before the due date on Friday night. After this, the team is to prepare for performance test 2 on the following Monday after the Box is due. The team should have a meeting on Friday to prepare for this as to ensure that the test runs smoothly. The code should be done prior to the meeting and only minor adjustments should be required on the meeting date.

Meeting 14:

Time:  (5:30-7:30) April 5th

Topics/Agenda: Performance Test 2

The topic of this meeting is to ensure that the Advanced Energy Vehicle is performing its best prior to performance test 2. This meeting consisted of the primary Advanced Energy Vehicle mechanics and was exclusively to make sure that the Advanced Energy Vehicle performed to spec for the test coming up. This will be done through rigorous testing of the craft. During this time, the other members of Team D are to be finishing up any last items on the Box to-do list.

Upcoming Tasks:

Team D is to prepare for the last performance test and is to have a team meeting on Thursday to ensure that the code is fully completed and to work out any final kinks in the Advanced Energy Vehicle. After that, the team will begin to work on the budget constraints assignment to see what exactly Team D has to do for the assignment and to begin to finish up the last few assignments due in the course.

Meeting 15:

Time:  (4:30-7:00) April 11th

Topics/Agenda: Performance Test 3

The topic of this meeting is to complete all testing on the Advanced Energy Vehicle. If necessary, the team can also meet on Friday to complete any final testing but both the primary code and most of the tweaking should be done on this date. While the mechanics are working on finishing this, the rest of the Team Members of Team D are to plan for the final assignments in the course. This includes working on the final presentation, the CDR, the Website Update, and the DropBox.  

Upcoming Tasks:

Team D is to meet early on Monday morning to make sure that the Advanced Energy Vehicle is performing properly before final testing. During final testing, Team D needs to ensure that they pull any and all data from the Advanced Energy Vehicle during this time. After this, the primary focus of the team should be to work in class and individually on the final few assignments, with most of the focus being on Progress Report 3 and the Budget Constraints assignment due to them coming up soon.

Meeting 16:

Topics/Agenda: Progress Report 3

The topic for this meeting is to work on Progress Report 3. Each team member will split up and work on separate parts of the report to be determined upon the meeting. The meeting will not only be to allow each member to write large portions of the report but for them to check each other’s sections of the report. The primary focus should be to improve formatting based on corrections for the last progress report.
