Group survey collaboration can make your job easier and less hassle when teams change.
When surveys are shared with a Qualtrics group, it is easy to add or remove group members during staffing transitions, requiring fewer survey transfers between user accounts and less dependence on Qualtrics admins. Qualtrics groups ensure that people who need access to surveys continue to have access when their student or colleague changes roles. Groups minimize lost work time when these changes happen.
By collaborating with a group, everyone in the group may have access to edit or launch a survey.
- The first step in creating a group is to determine the name for the survey group and then to reach out to your Qualtrics department admin with the list of names and email addresses that you want added to the group.
- The admin will create the group and once that is done everyone on the team can collaborate with the group.
Below we will find the how-to’s of group collaboration:
- Once your group is created you can select surveys to add to the group. Go to the … to the right of the survey and select collaborate.

- From there, click on user & group in the address book and select your group from the list. (Expect a few seconds delay when searching for a group name in the directory.)

- After you select your group, you will be able to adjust permissions for the surveys. If you want the other group members to have all permissions (edit, launch, etc.), leave all options checked. If you only want them to be able to edit, but not to launch, then you can make those adjustments here.

- In addition to adding surveys to groups, you can also add templates for thank you emails, launch emails, etc. That can be found in the upper left hand corner by selecting library. Select your group and, in the upper right hand corner, add resources to your group.

- This is what it will look like once you add templates to your group.

- When you want to see what surveys have bene shared with you under the group name they will be shown under the “SHARED WITH ME” section of projects as seen below. As a reminder – if you are the owner of the survey and you’ve shared it with the group, it will not show up in this section because you are the creator of the survey. It will still be located in your project section.
