To use the forum, head to the AGPA forum page. Scroll to the bottom of the page and select “Log in.” You’ll be prompted to use your Ohio State log in information. Depending on whether or not you’ve logged in to u.osu.edu before, you may have to agree to the terms and conditions of the site. Once you’ve logged in, you’ll see your own personal u.osu.edu dashboard. However, if you navigate back to the AGPA forum, you’ll now be able to advertise your courses by posting to the appropriate forum discussion.

Operations – Running your program effectively
  • Team communication and collaboration –
    • Many services now exist to facilitate collaboration within and between offices, allowing for easier and faster correspondence than via email and being more comprehensive than just instant messaging.
    • Skype for Business is the instant messaging service used at Ohio State. It’s a convenient way to send ask a quick question to a coworker without having to leave your desk and makes it easier to have back-and-forth correspondence than email. Because it operates in the Microsoft Outlook environment, it provides contact information for any faculty or staff member at Ohio State, and you can organize lists of contacts for quick contact later.
      • Skype for Business will also show you whether someone is logged in and active or is inactive (and for how long), which is helpful to know before you try calling someone or go over to their office.
    • Microsoft Teams is a group chat and collaboration platform that offers comprehensive features for persistent discussion among your team. Messages are saved chronologically, and you can create different channels to isolate discussion about certain topics or projects.
      • Teams seamlessly integrates with other Office programs, and lets you share calendars, files, and email.
      • All about using Teams from OCIO: LINK
      • Frequently asked questions about using MS Teams at Ohio State, including security classification and records retention: LINK
    • Other services
      • Some offices have been using other services, like Slack, to fill the role of the services listed above. This is not recommended, because not using Skype for Business means that other staff at Ohio State can’t send you instant messages, which is often done by OCIO to provide technical support. MS Teams integrates with other software widely used or recommended for business purposes at Ohio State, while those features may be missing in other platforms.

Reporting and Data Analysis

The resources below will help you access, filter, and report on data so that you can better understand your program, see the effects of changes over time, and make informed decisions for future plans.

  • Office of Enrollment Services – Analysis and Reporting. This office provides certain standard reports based off of enrollment data, and you may also request custom reports based on unique criteria that you indicate. This is simple, but you may have to wait several weeks for the report.
  • eReports. This application allows you to immediately run your own reports based on pregenerated data queries. You can use pre-built queries and also have a limited ability to create your own. Use of eReports is fairly straightforward and quite robust, but not every possible question can be answered in eReports. To get access, follow the instructions here and contact OESAR if you have questions. Training is required. There are different types of data sources, which require separate access:
    • Student records data (currently- or formerly-enrolled students)
      • Examples: Who are all of our students? Who has graduated from our program? Who was enrolled in a particular course in a specific semester?
    • Graduate admissions data (application data from the graduate student application)
      • Examples: Viewing all applicants for specified terms and seeing the test scores of students who were admitted or denied and those who were admitted but did not accept
  • Data Acquisition and Analysis. This is the process of directly querying the tables the comprise the university’s Operational Data Store and Snapshots. This requires proficiency with a relational database such as MS Access, which can be set up to access the central database. This allows unparalleled flexibility in querying data but requires extensive practice: training is available. To get access, follow the instructions here and contact OESAR if you have questions.
