Credit Card Acceptance and PCI (Payment Card Industry)

Updated PCI Agreement with Third Party Vendors – University merchants using a third party vendor that possesses, transmits, processes, or stores credit card payments are required to have the vendor sign the new agreement. The agreement is available here. PCI regulation 12.8.2 requires merchants using a third party vendor must have a written agreement stating the vendor is responsible for the security of cardholder data it possesses, transmits, processes or stores. These agreements must be maintained by the department and available for annual review by OSU’s PCI assessor.

New credit card merchant processor change required by 5/1/15 – Bank of America/First Data is the University’s new merchant processor. To obtain new merchant numbers and transition processing to Bank of America, please contact the Treasurer’s office at 2-7792 and schedule a transition to be completed before May 1, 2015.
New credit card terminals accept EMV (Europay, MasterCard and Visa) chip cards and ApplePay – Merchants may upgrade to new terminals that accept credit cards with EMV chip technology and be enabled with NFC (near field communication) to accept Apple Pay. Please contact the Treasurer’s office at 2-7792 for details.
PCI Training – The University requires all personnel who process credit cards or manage personnel who process cards, to complete annual data security training. Beginning this May, computer based training will be available on Carmen for university personnel or on Net Learning for OSU Wexner Medical Center personnel. If a volunteer or individual does not have a name.# on the University’s email system, or if training must be completed prior to May 2015, please use the PowerPoint training at the following link.

Deposit Reminder-Deposits must be made by the next business day if the deposit is $1,000 or greater or within three business days if the deposit is less than $1,000.  The timing is mandated by the Ohio Revised Code 9.38.
